Add your stock locations
1
List your locations
Start from the places where your business stores and handles goods. This can be a central warehouse, a store, or several stores with their own stock balances.
2
Name each location clearly
Use names your team will recognize, for example “Central Warehouse”, “Store Gothenburg”, and “Store Stockholm”. Clear names make it easy to choose the right place during daily work.
3
Check for duplicates
If warehouse data was already imported from your ERP, review it first and add only what is missing. Do not create the same location twice.
Include store stock
A store is not just a sales point. It may also hold goods that need to be counted, moved, or picked for orders. Go through which stores should be part of inventory management and make sure their balances can be kept separate from the central warehouse. A total count is not enough when staff need to know where an item actually is.Verify opening balances
When the locations are in place, make sure the balances are correct. Check both the quantity for each item and which location it belongs to. If balances were imported from your ERP, review the result before making manual adjustments. Avoid registering the same opening balance through multiple flows.Investigate differences before correcting
Compare a sample of items with the physical stock and the ERP record. Choose products that exist in several locations. If quantities differ, check whether there are ongoing receipts, picks, or transfers that explain the gap. If needed, a stock count can give a more reliable baseline. Also decide when the reconciliation should happen. If goods are moved or sold during the check, those events must be included in the count.Confirm the warehouse is ready
Before you start working in production, make sure it is clear where stock changes are registered and how they flow between systems. Leara keeps the operational stock picture together, while the scope of integrations determines which data is shared. Check that:- All locations you will use are created.
- Names are clear and no accidental duplicates exist.
- Item balances are assigned to the right location.
- Opening balances are checked and differences investigated.
- Colleagues know where receipts, transfers, and adjustments should be registered.
